Data enrichment is the process of adding missing or updated information to records you already have, such as a job title, company size or verified email address. It does not create a list from scratch. It improves the one you hold. If your CRM is full of half-complete records, enrichment is often the fastest fix.
What enrichment actually adds
You start with a minimal record, often just a name and an email or a company domain. Enrichment matches that record to a data source and fills in fields that are blank or out of date.
Typical additions include:
- Person fields: current job title, seniority, function, location and a professional profile link.
- Company fields: industry, employee range, headquarters and the technologies the company uses.
- Contact details: a professional email address or phone number, where available.
Leadvaro’s Data Enrichment works from this idea, drawing on 3B+ data points and 50+ actionable insights per record where available. The value is not the volume of fields, but the right fields for how your team sells.
Signs your CRM needs enrichment
You do not need to enrich everything. Look for these signals.
- Many records are incomplete. Leads from forms often arrive with only a name and an email. Reps cannot prioritize what they cannot see.
- Titles are outdated. People change roles often, and a record from two years ago may point to someone who has moved on.
- Segmentation is guesswork. If you cannot filter by company size or industry, marketing and sales cannot target well.
- Routing is slow or manual. Assigning leads to the right rep usually depends on region, size or industry. Missing data forces someone to look it up by hand.
- Email results are poor. A high share of bounced emails often points to stale contact data.
If two or three of these sound familiar, enrichment will probably pay off.
Enrichment vs building a new list
These are different jobs, and mixing them up leads to wasted effort.
- Building a list means finding new people who fit your target profile. Use people search for that.
- Enrichment means improving records you already own, whether from your CRM, event scans, sign-ups or past campaigns.
A healthy process uses both. New prospects come in through search. Existing records get enriched on a schedule so they stay useful.
How to roll out enrichment safely
Treat the first run as a test, not a full overwrite.
1. Define what you want to fill
List the fields that would change how your team works. Common ones are job function, seniority, company size and industry. Skip fields nobody will use.
2. Run a small sample
Pick a few hundred records, ideally a mix of good and poor ones. Review the results by hand. Check that matches are correct and that new values make sense.
3. Set overwrite rules
Decide in advance whether enrichment can replace existing values or only fill blanks. A safe default is to fill blanks and flag conflicts for review, especially where a rep entered data manually.
4. Respect your data rules
Make sure you have a lawful basis to process contact data and that your use matches your privacy policy and local rules. See Leadvaro’s GDPR page for how we approach this.
5. Keep a record of the change
Add a field or note showing when a record was last enriched. This helps you decide what to refresh later and makes issues easier to trace.
Keep it fresh, not just complete
A one-time enrichment helps, but data ages. People move, companies grow and email addresses stop working. Leadvaro re-verifies records continuously and refreshes its database every 7 days, so enrichment draws on current data. On your side, schedule a periodic re-run for active segments, such as accounts you are working this quarter, rather than the whole database every time.
Where enrichment connects
Enrichment is most useful when results land where your team works. Leadvaro supports integrations with tools such as HubSpot and Salesforce, and an API for teams that want to enrich records as they are created. Our API and integrations page lists what is supported.
What enrichment will not do
Be realistic about its limits.
- It cannot fix a poor targeting strategy. If your ICP is unclear, better fields will not make it clear.
- It will not match every record. Some people and companies have little public information.
- It does not replace a conversation. It gives reps a better starting point, not a finished picture of the buyer.
Used with those limits in mind, enrichment shortens research time and improves segmentation, routing and personalization.
